The best group & multi-party scheduling tools (2026)

Scheduling a meeting with one person is solved. Scheduling one across several people — often at different companies and time zones — still isn’t. Here are the tools that handle group scheduling, what each is best at, and when to reach for which.

1. Pinbook

Best for multi-party & cross-company meetings (and 1:1 too)

Pinbook reads every attendee’s real calendar at once — across Google, Outlook, Apple, Yahoo and Fastmail, and across organizations — and surfaces the first time the whole group is genuinely free. Guests connect once with no account, it reads free/busy only (never event details), and it also offers polished 1:1 booking pages, so it covers the full range of scheduling. Best when a meeting spans several people or companies, or an assistant is coordinating on someone’s behalf.

2. Calendly

Best for 1:1 booking links & sales round-robin

Calendly is excellent for personal booking links and routing a 1:1 to whoever is free on your team. For group meetings it relies on hosts inside your Calendly organization (Collective) or manual Meeting Polls, so true cross-company group scheduling isn’t its focus.

3. Doodle

Best for quick group polls when calendars aren’t connected

Doodle is the classic poll: propose times, everyone votes, you pick the winner. Simple and familiar — but it requires manual input from every attendee and doesn’t read real calendars to find mutual free time.

4. When2meet

Best for free, no-frills manual group availability

When2meet is a free availability grid — everyone drags to mark when they’re free and you read the heatmap. Great for casual or one-off picks, but entirely manual and not connected to real calendars.
